By accessing or using the Platform, you agree to the practices described in this Privacy Policy. If you do not agree with this Privacy Policy, you should not use the Platform.
1. Scope of This Privacy Policy
This Privacy Policy applies to personal data and information processed through:
- Classix360 school ERP platform.
- Classix360 web portals.
- Classix360 mobile applications.
- School admin, staff, parent, student, and management dashboards.
- Website forms, enquiry forms, contact forms, demo request forms, and onboarding forms.
- Communication features such as SMS, WhatsApp, email, push notifications, in-app messages, and alerts.
- Support, onboarding, implementation, training, and customer service interactions.
- Payment-related features, where enabled.
- Analytics, reporting, AI-assisted, or automation features, where enabled.
This Privacy Policy should be read together with the Terms and Conditions, applicable school agreements, service schedules, proposals, invoices, order forms, and other written arrangements between Skillnest360 and the relevant School.
2. Important Role Clarification
Classix360 is primarily used by Schools to manage academic, administrative, communication, fee, attendance, student, parent, and staff-related information.
For most School Data processed through the Platform, the School determines the purpose and means of processing. Skillnest360 processes such data to provide, maintain, secure, support, and improve the Platform.
In such cases, Skillnest360 acts as a technology service provider and processes data based on the School’s instructions, platform configuration, and authorised user activity.
However, Skillnest360 may independently process limited personal data for purposes such as:
- Account administration.
- Billing and invoicing.
- Security and fraud prevention.
- Technical support.
- Platform analytics and improvement.
- Legal and regulatory compliance.
- Business communication.
- Service management and operational reporting.
Where Skillnest360 independently determines the purpose and means of processing for such limited purposes, Skillnest360 may act as an independent data fiduciary under applicable data protection law.
3. Definitions
For the purpose of this Privacy Policy:
“School” means any school, trust, educational institution, management body, academy, coaching centre, or organisation that uses or subscribes to the Platform.
“User” means any person using the Platform, including school owners, correspondents, principals, administrators, teachers, staff, parents, guardians, students, vendors, and authorised representatives.
“Student” means a child or learner whose records may be managed through the Platform.
“Child” means an individual who has not completed eighteen years of age.
“Parent” or “Guardian” means the parent, lawful guardian, or person authorised by the School to access information relating to a Student.
“Data Principal” means the individual to whom personal data relates and, in the case of a Child, includes the parent or lawful guardian where applicable.
“Personal Data” means digital personal data relating to an identifiable individual, as understood under applicable Indian data protection law.
“School Data” means data entered, uploaded, transmitted, stored, generated, or processed by or on behalf of the School through the Platform.
4. Personal Data We May Collect
Depending on the user type and features enabled, we may collect or process the following categories of personal data.
4.1 School and Institutional Information
- School name.
- School address.
- UDISE or other school identification details, where provided.
- School contact numbers.
- School email addresses.
- Management, principal, correspondent, or admin contact details.
- Branch, campus, class, section, academic year, and operational details.
- School documents, agreements, quotations, invoices, and service records.
4.2 Student Information
- Student name.
- Admission number or roll number.
- Class, section, batch, house, group, or academic category.
- Date of birth, age, and gender, where provided by the School.
- Attendance records.
- Homework, assignment, exam, result, performance, and academic records.
- Fee records and payment status.
- Transport, hostel, library, ID card, uniform, books, or service-related details, where enabled.
- Student photograph or ID-related image, where uploaded by the School.
- Behavioural, disciplinary, remarks, communication, or support records, where entered by the School.
- Learning journey, progress, analytics, or recommendation data, where enabled.
4.3 Parent or Guardian Information

- Relationship to Student.
- Address, where provided.
- Communication preferences.

- Fee payment-related information, where applicable.

4.4 Staff, Teacher, and Admin Information

- School assignment, class assignment, subject assignment, or department.

- Attendance or task-related information, where enabled.
- Communications, remarks, uploaded content, and support interactions.

Where payment features are enabled, we may process limited payment-related information such as:

- Refund or failed transaction status.
We generally do not store full card numbers, CVV, UPI PINs, banking passwords, or sensitive payment authentication credentials. Such information is processed by authorised payment gateways, banks, card networks, UPI providers, or payment service providers.
5. How We Collect Personal Data

- Schools during onboarding, setup, implementation, or support.
- School admins who upload or enter data into the Platform.
- Teachers, staff, or authorised users using Platform features.
- Parents, guardians, or students using web or mobile access.
- Website visitors submitting enquiry, demo, contact, or support forms.
- Payment gateways and transaction service providers, where payments are enabled.
- Communication service providers such as SMS, email, WhatsApp, or push notification providers.
- Device, browser, app, and server logs generated during Platform usage.
- Public or authorised school-related sources where lawfully used for business contact, onboarding, or service purposes.
6. Purpose of Processing Personal Data
We may process personal data for the following purposes:
- To create and manage user accounts.
- To onboard Schools and configure the Platform.
- To provide school ERP and management services.
- To manage student records, admissions, attendance, homework, exams, results, fees, and communication.
- To enable parent, student, teacher, staff, and admin portals.
- To send notices, alerts, reminders, updates, and school communications.
- To provide fee tracking and payment-related functionality, where enabled.
- To provide support, training, troubleshooting, and implementation assistance.
- To improve Platform performance, reliability, security, and usability.
- To detect, prevent, and respond to fraud, misuse, unauthorised access, or security incidents.
- To maintain audit logs and operational records.
- To generate reports, dashboards, analytics, and insights for the School.
- To provide AI-assisted features, automation, learning support, or recommendations where enabled.
- To comply with legal, regulatory, tax, accounting, contractual, and dispute-resolution obligations.
- To communicate with Schools about services, updates, invoices, renewals, changes, and support.
- To improve our products, services, workflows, and customer experience.
7. Children’s Personal Data
Classix360 may process personal data relating to children because the Platform is designed for schools and educational institutions.
For this Privacy Policy, a “Child” means an individual who has not completed eighteen years of age.
The School is primarily responsible for ensuring that children’s personal data is collected, uploaded, shared, and processed lawfully, including obtaining parental or guardian consent wherever required.
Where Skillnest360 knows that it is processing children’s personal data through the Platform, Skillnest360 shall take reasonable steps to:
- Process such data only for authorised school-related, platform-related, support, security, legal, or service purposes.
- Avoid using children’s personal data for unrelated advertising.
- Avoid behavioural targeting or unrelated commercial profiling of children.
- Avoid processing children’s personal data in a manner likely to cause harm to the Child.
- Restrict access to authorised personnel and service providers on a need-to-know basis.
- Apply reasonable security safeguards.
- Assist the School, where reasonably possible, in responding to lawful parent, guardian, or student-related privacy requests.
If Skillnest360 becomes aware or reasonably believes that children’s personal data has been uploaded without required authority or consent, Skillnest360 may take appropriate steps, including notifying the School, requesting confirmation or documentation of consent, restricting access to the relevant data, suspending the relevant processing activity, deleting the relevant data where legally and technically appropriate, or taking any other action required under applicable law.
Parents or guardians who believe that a child’s data has been incorrectly entered, misused, or uploaded without proper authority should first contact the relevant School. They may also contact Skillnest360 using the details provided in this Privacy Policy.
8. Legal Basis, Consent, and Processing Purposes
Skillnest360 processes personal data only for lawful, authorised, contractual, service-related, legal, security, or platform-related purposes.
Depending on the context, personal data may be processed on one or more of the following bases:
- Consent provided by the User, Parent, Guardian, Student where applicable, School, or authorised representative.
- Processing necessary to provide the Platform and related services requested by the School or User.
- Processing based on instructions, configuration, or authorisation from the School.
- Processing necessary for legal, regulatory, tax, accounting, contractual, security, fraud-prevention, or dispute-resolution purposes.
- Processing necessary for platform administration, service improvement, technical support, reliability, and security, subject to applicable law.

Where consent is required, the relevant Data Principal may have the right to withdraw consent, subject to applicable law, contractual requirements, School requirements, and the nature of the service.
Withdrawal of consent may affect the ability to use certain Platform features.
For children’s data, the School is responsible for obtaining parental or guardian consent where legally required unless otherwise agreed in writing. Skillnest360 may request confirmation, documentation, or assurance from the School regarding such consent where reasonably necessary.
9. How We Share Personal Data
We do not sell personal data.
We also do not share personal data with third parties for their independent advertising, behavioural targeting, or unrelated commercial profiling purposes.
We may share personal data only where necessary for authorised, lawful, contractual, operational, or service-related purposes.
Personal data may be shared with:
- The relevant School and its authorised users.
- Parents, guardians, students, teachers, staff, or admins, based on access permissions configured for the School.
- Hosting and cloud infrastructure providers.
- SMS, WhatsApp, email, and push notification providers.
- Payment gateways, banks, UPI service providers, card networks, or payment service providers.
- Analytics, logging, monitoring, security, and error tracking providers.
- Customer support, onboarding, and implementation service providers.
- AI, automation, or analytics service providers where such features are enabled.
- Legal, tax, audit, accounting, compliance, or professional advisors.
- Government authorities, regulators, law enforcement, courts, or tribunals where required by law.
- Successors, investors, acquirers, or restructuring parties in case of merger, acquisition, funding, restructuring, business transfer, or similar transaction, subject to appropriate confidentiality protections.
We take reasonable steps to ensure that third-party service providers handling personal data are subject to appropriate confidentiality, security, and data protection obligations.
10. Subprocessors and Third-Party Providers
Classix360 may rely on third-party service providers or subprocessors for hosting, storage, communication, SMS, WhatsApp, email, payment processing, analytics, logging, security, AI services, customer support, and other operational services.
Such providers may process personal data only to the extent necessary to provide their services to Skillnest360 or the relevant School.
While we take reasonable steps to choose reliable providers, the availability, performance, security, delivery, and reliability of certain features may depend on these third-party providers.
11. Payment Data
If online fee payment or payment gateway functionality is enabled, payments may be processed by third-party payment gateways, banks, UPI systems, card networks, or payment service providers.
Skillnest360 is not a bank, payment aggregator, wallet provider, or financial institution unless expressly stated in writing.
We may receive and store limited transaction information such as amount, payment status, transaction reference, receipt number, payment date, gateway response, and refund status.
We do not generally store full card details, CVV, UPI PIN, net banking passwords, or sensitive payment authentication credentials.
Refunds, failed transactions, chargebacks, settlement delays, payment reversals, and reconciliation issues may depend on the School, payment gateway, bank, UPI provider, or card network.
12. AI-Assisted Features, Automation, and Analytics
Classix360 may include AI-assisted, automation, analytics, reporting, recommendation, learning support, or intelligent workflow features.
These features may process School Data and Personal Data to provide:
- Dashboards and reports.
- Academic or operational insights.
- Attendance or performance patterns.
- Suggested communications.
- Learning support or personalised journeys.
- Administrative automation.
- Risk alerts or operational recommendations.
- Service quality and platform improvement.
AI-assisted outputs are intended to support human decision-making. Schools, teachers, admins, or authorised users must review and approve outputs before relying on them for academic, disciplinary, financial, administrative, or official decisions.
Skillnest360 may use third-party AI, cloud, analytics, or automation service providers to provide or improve AI-assisted features. Where such providers process Personal Data or School Data, Skillnest360 shall take reasonable steps to ensure that they are subject to appropriate confidentiality, security, and data protection obligations.
Skillnest360 shall not knowingly permit identifiable children’s personal data to be used by third-party AI providers for unrelated advertising, unrelated commercial profiling, or training general-purpose AI models outside the scope of providing services to Skillnest360 or the relevant School, unless legally permitted and appropriately authorised.
Where AI-assisted features are experimental, beta, limited-release, or optional, Skillnest360 may label or communicate them accordingly.
Schools may contact Skillnest360 to understand whether a particular AI-assisted feature uses third-party AI service providers and whether such feature can be enabled, disabled, or configured for their institution.
Where possible, Skillnest360 may use aggregated, anonymised, or de-identified data to improve platform performance, product quality, analytics, and service delivery.
13. Anonymised, Aggregated, and De-identified Data
Skillnest360 may use anonymised, aggregated, or de-identified data for analytics, product improvement, reporting, benchmarking, research, service quality, security, and business insights.
For the purpose of this Privacy Policy:
- “Anonymised data” means data processed in a manner that does not identify an individual and cannot reasonably be used by Skillnest360 to identify an individual.
- “Aggregated data” means data combined with data of other users, schools, students, or platform activities so that individual-level details are not visible.
- “De-identified data” means data from which direct identifiers such as names, phone numbers, email addresses, admission numbers, or similar identifiers have been removed or masked.
Skillnest360 shall take reasonable steps to avoid using anonymised, aggregated, or de-identified data in a manner that directly identifies a specific Student, Parent, Guardian, staff member, User, or School unless permission has been obtained or such use is legally permitted.
Where feasible, Skillnest360 may apply safeguards such as removal of direct identifiers, masking, grouping, access restriction, aggregation thresholds, and internal controls to reduce the risk of re-identification.
14. Cookies, Analytics, and Tracking Technologies
The Platform, website, or mobile application may use cookies, local storage, session storage, device identifiers, log files, analytics tools, tracking technologies, or similar technologies.
These technologies may be used as follows:

Skillnest360 does not sell personal data and does not share personal data for third-party advertising purposes.
Where required by applicable law, Skillnest360 shall provide appropriate notices, consent options, or preference controls through its website, app, browser settings, or Privacy Policy.
Users may disable certain cookies or tracking technologies through browser or device settings. However, disabling essential cookies, session storage, or security technologies may affect login, security, or Platform functionality.
If Skillnest360 begins using non-essential advertising cookies, cross-site tracking pixels, or third-party behavioural advertising tools in the future, this Privacy Policy or a separate Cookie Policy should be updated before or at the time such technologies are introduced.
15. Data Security
Skillnest360 takes reasonable technical and organisational measures to protect personal data and School Data.
Such measures may include:
- Access controls.
- Role-based permissions.
- Authentication controls.
- Password protection.
- Data backup.
- Logging and monitoring.
- Infrastructure security.
- Employee access restrictions.
- Need-to-know access.
- Security incident response processes.
- Confidentiality obligations for employees, contractors, and service providers.
However, no digital platform, internet transmission, cloud service, or storage system can be guaranteed to be completely secure.
Users and Schools are responsible for:
- Keeping passwords confidential.
- Not sharing OTPs or login credentials.
- Using secure devices.
- Assigning correct user roles.
- Removing access for staff who leave the School.
- Reporting suspected unauthorised access promptly.
- Ensuring that authorised users do not misuse, download, screenshot, or share student or school data without permission.
Skillnest360 is not responsible for security incidents caused by weak passwords, credential sharing, compromised devices, phishing, unauthorised internal access, incorrect user permissions, or misuse by School-authorised users.
16. Personal Data Breach and Security Incidents
If Skillnest360 becomes aware of a confirmed personal data breach or material security incident affecting Personal Data or School Data processed through the Platform, Skillnest360 shall take reasonable steps to investigate, contain, mitigate, remediate, and document the incident.
Where legally required, Skillnest360 shall notify the appropriate authority, affected School, and/or affected Data Principals as soon as reasonably practicable and within the timelines required under applicable law.
Where applicable law requires a detailed report, Skillnest360 shall submit such report within the prescribed timeline and include relevant information required by law, which may include the nature, extent, timing, likely consequences, mitigation measures, and remedial actions taken or proposed.
Where a breach affects School Data controlled by the School, Skillnest360 may notify the School and cooperate with the School in assessing whether notification to Parents, Guardians, Students, staff, regulators, or other affected persons is required.
The School must promptly notify Skillnest360 if it becomes aware of unauthorised access, suspected compromise, credential misuse, incorrect permissions, unauthorised disclosure, or any other security incident involving the Platform.
17. Data Retention
Skillnest360 retains personal data and School Data only for as long as reasonably necessary for the purposes described in this Privacy Policy, subject to legal, contractual, tax, accounting, audit, backup, security, and dispute-resolution requirements.
The following retention schedule applies unless a separate agreement with the School, applicable law, or technical requirement provides otherwise:

Upon termination or expiry of services, the School may request export or deletion of available School Data, subject to technical feasibility, lawful request, account verification, backup cycles, pending dues, and legal or contractual obligations.
Backup copies may remain for a limited period until overwritten or deleted in accordance with Skillnest360’s backup and retention practices.
Where personal data is no longer required, Skillnest360 may delete, anonymise, aggregate, de-identify, archive, or restrict access to such data in accordance with applicable law and internal retention practices.
18. Data Export and Portability
Upon valid request from the School, Skillnest360 may provide export of available School Data in commonly used formats such as CSV, Excel, PDF, or other formats supported by the Platform.
Unless otherwise agreed in writing, Skillnest360 will make reasonable efforts to provide available export within 30 days from receipt of a valid written request, subject to technical feasibility, lawful request, account verification, and settlement of outstanding dues.
Data Principal-level access, correction, or deletion requests may need to be routed through the relevant School where the School controls or determines the processing of such data.
19. Data Principal Rights
Subject to applicable law, Data Principals may have rights relating to their personal data, including:
- Right to access information about personal data processing.
- Right to correction.
- Right to completion.
- Right to updating.
- Right to erasure.
- Right to withdraw consent where processing is based on consent.
- Right to grievance redressal.
- Right to nominate another person to exercise rights in accordance with applicable law.
To exercise these rights, Users may contact the relevant School or Skillnest360’s Grievance Officer / Contact Person using the contact details in this Privacy Policy.
Where the request relates to School Data controlled by the School, Skillnest360 may direct the request to the relevant School or coordinate with the School as reasonably required.
Skillnest360 may need to verify the identity and authority of the person making the request before processing it.
Skillnest360 will make reasonable efforts to respond to valid Data Principal rights requests within 30 days from receipt of a complete and verifiable request, unless a different timeline is required under applicable law.
Grievances will be addressed within the timeline required under applicable law. Where no shorter timeline applies, Skillnest360 will aim to resolve grievances within 90 days from receipt of a complete and verifiable grievance.
Certain requests may be declined, delayed, limited, or routed to the School where required by law, contractual obligations, technical limitations, safety, fraud prevention, dispute resolution, or legal retention requirements.
20. Withdrawal of Consent
Where personal data is processed based on consent, the relevant Data Principal may withdraw consent using the method provided by the School, the Platform, or Skillnest360.
Withdrawal of consent may affect access to certain features or services. For example, if a Parent withdraws consent for receiving school communications, the School may be unable to send app alerts, reminders, or updates through the Platform.
Where a request concerns Student or School Data, Skillnest360 may coordinate with the relevant School before acting on the request.
Withdrawal of consent does not affect processing already completed before withdrawal, or processing required for legal, contractual, security, record-keeping, dispute-resolution, or compliance purposes.
21. Correction and Deletion Requests
If any personal data shown on the Platform is incorrect, incomplete, outdated, or misleading, Users should first contact the relevant School because most academic, fee, attendance, student, parent, and staff data is entered or controlled by the School.
Skillnest360 may assist the School in correcting or deleting data where reasonably possible and technically feasible.
Deletion requests may be subject to:
- School approval.
- Legal retention obligations.
- Contractual obligations.
- Backup cycles.
- Pending disputes.
- Security or fraud prevention requirements.
- Technical feasibility.
22. International Data Transfers

Where personal data is transferred outside India, Skillnest360 shall take reasonable steps to ensure that such transfer is carried out in accordance with applicable law.

23. Marketing and Service Communications
Skillnest360 may use School contact details or authorised representative contact details to send service-related updates, product information, onboarding messages, renewal reminders, invoices, support communications, or business communications.
Users may opt out of non-essential marketing communications where such option is provided.
However, essential service communications, security alerts, legal notices, billing notices, account messages, and platform-related updates may still be sent where necessary.
School communications sent to Parents, Guardians, Students, or staff through the Platform are controlled by the School.
24. User Responsibilities
Users agree to:
- Provide accurate information.
- Keep login credentials confidential.
- Use the Platform only for authorised school-related purposes.
- Not misuse student, parent, staff, or School Data.
- Not share screenshots, exports, or records without authorisation.
- Not access data they are not authorised to view.
- Report suspected misuse or unauthorised access promptly.
- Comply with applicable school policies, platform terms, and laws.
Parents and Students should contact the School for academic, attendance, fee, exam, homework, disciplinary, or school-policy related concerns.
25. School Responsibilities
The School is responsible for:
- Uploading accurate and lawful data.
- Obtaining required consents and permissions.
- Assigning correct user roles and permissions.
- Removing access for unauthorised or former staff.
- Ensuring lawful use of communication features.
- Responding to parent, guardian, student, staff, or Data Principal requests where the School controls the data.
- Complying with applicable education, data protection, child protection, communication, taxation, and other laws.
- Informing Skillnest360 promptly of any suspected data misuse, account compromise, or unauthorised access.

29. Changes to This Privacy Policy
